Whether you are a teacher or part of the school service personnel staff, such as a counselor or social worker, the evaluation process will be the same for every position. To help you navigate through the evaluation process, a summary of the evaluation procedures is listed below. Year-long from September to February
First day of student attendance in the new school year
Observer will make contact (via email/in person) within first 10 days
Request for Reconsideration
In writing to the District Evaluation Committee building representative within 5 school days of notification
Before September mid-term
Between teacher and observer
Review evaluation process and tools, establish expectations, and determine evaluation start-date
Held before every formal observation
Prior to conference, teacher is required to complete and turn in the Planning Conference Questionnaire and any artifacts, such as lesson plans
Conducted between September and the last Monday in January
Tenured teachers = 1 formal observation (teacher sets the date and picks the class); 1 informal observation (observer picks the class and period; gives one week notice)
· First observation by the last Monday in November
· Second observation by the last Monday in January
Non-tenured teachers = 2 formal observations (teacher sets the date and picks the class); 1 informal observation (observer picks the class and period; gives 48 hour notice of the week during which the observation will take place)
· First observation before end of Quarter 1
· Second observation by the end of the first semester
· Third observation by the last Monday in January
Length = minimum 45 minutes, a full period or a complete lesson
These steps will take affect after a formal observation occurs:
Within five (5) days after the observation, observer will return the un-coded, scripted notes to the teacher
Within ten (10) days after the observation, the teacher will complete and return the Reflection Conference Questionnaire
Within ten (10) days after the observation, the Observer will return the coded, scripted notes to the teacher
Within fifteen (15) days, a Reflection Conference will be held.
At this conference, the teacher and observer will review the evidence and artifacts to date; discuss strengths and recommendations for improvement and additional artifacts needed.
The observer will NOT complete the strengths, recommendations for improvement or the “sign-off” (last page of the formative evaluation document) page until after the reflection conference takes place.
Within twenty (20) days after the observation, the observer will complete the formative evaluation based on the conversation at the Reflection Conference and complete the “formative feedback sign-off” page.
The observer and teacher will meet to review formative evaluation and sign document.
If needed and mutually accepted and documented on the evaluation (under “other comments), time may be extended by five days.
If mutually agreed upon, this process can be condensed into 10 days.
These steps will take affect after an informal observation occurs:
Within five (5) days after the observation, observer will return the coded, scripted notes to the teacher.
Within ten (10) days after the observation, a Reflection Conference will be held.
At this conference, the teacher and observer will review the evidence and artifacts to date; discuss strengths and recommendations for improvement and additional artifacts needed. Both the teacher and observer will complete the “formative feedback sign-off” page.

All artifacts must have a label that includes: the component it falls under, a one to two sentence rationale and a date of occurrence.
Artifacts for Domains 1 -3 and Domain 4 components “a-c” must come from the current cycle (i.e. from your last evaluation forward)
Artifacts for Domain 4 components “d-f” can be older; however, they must be relevant to teacher’s current role and be dated
Artifacts are due BEFORE the summative conference or by the last Monday in January, whichever comes first.
Observers will only accept up to 6 artifacts per component.
